Last updated: October 20, 2026

1. Who is the data controller?

The data controller is Innovazione su Misura di Catana Petronela, with its registered office at Via Val Della Torre 81, 10149 Torino (TO), Italy, VAT no. IT12533670019 ("Inklaim", "we"). For any privacy question and to exercise your rights, write to info@inklaim.com.

We have not appointed a data protection officer (DPO), because it is not mandatory for our activity.

2. What does this policy cover?

This policy covers the website inklaim.com, including its German (inklaim.com/de), French (inklaim.com/fr), Spanish (inklaim.com/es), Japanese (inklaim.com/ja), Chinese (inklaim.com/zh) and Korean (inklaim.com/ko) versions: browsing, visit statistics and the messages sent through the contact, demo request, pilot project and Enterprise plan forms.

The Italian website inklaim.it has its own privacy policy (in Italian), with the same data controller.

The Inklaim platform at portal.inklaim.com, where firms prepare their drawing sheets, has its own terms of service, its own privacy notice and a page on security and privacy. For the matter content uploaded by firms (texts, drawings, CAD models), Inklaim acts as data processor on behalf of the firm, under Art. 28 GDPR and the data processing agreement.

3. What data we process, why and on what legal basis

Browsing data

When you visit the site, the servers automatically log some technical data: IP address, date and time of the request, the page requested, browser and operating system. These data are used to run the site, protect it from abuse and fix errors. The legal basis is our legitimate interest in the security and operation of the site (Art. 6(1)(f) GDPR). These data are kept only for as long as strictly necessary for these purposes, unless they are needed to establish an unlawful act.

Visit statistics

We collect visit statistics with our own tool, without third-party services. If you accept statistics in the banner, we use a random session identifier to find out which pages are viewed, where the visit comes from, how long visitors stay on a page and which main buttons are used. The legal basis is your consent (Art. 6(1)(a) GDPR), which you can withdraw at any time. If you decline, we count visits anonymously, without identifiers. We do no profiling and no advertising. The details are in the cookie policy.

Contact, demo, pilot project and Enterprise forms

When you write to us through a form, we process the data you enter: first and last name, work email, firm or company, role, phone number (optional), the information about the pilot project or the Enterprise plan and the text of your message. We use them to answer your request and, if you ask, to arrange a demo, the pilot project or a quote. The legal basis is taking steps prior to entering into a contract at your request (Art. 6(1)(b) GDPR).

We do not use these data for newsletters or marketing communications without your specific consent. Please do not send confidential information about your matters through the form: matter files are uploaded in the platform or, in the pilot project, after the non-disclosure agreement has been signed.

Email

If you write to info@inklaim.com, we process your address and the data contained in your message in order to reply to you, on the same legal basis as the forms.

4. Do you have to give us your data?

No, it is your choice. Without the required fields of the forms (marked in the form itself), however, we cannot reply to you.

5. How long do we keep the data?

  • Form requests and emails: up to 24 months from the last contact, if no contractual relationship arises; then we delete them.
  • If you become a customer: for the duration of the relationship and then for the period required by law (for example, 10 years for accounting and tax records).
  • Visit statistics: the session identifier lives in the browser tab and is deleted when you close it; we use the statistics in aggregate form.
  • Server browsing data: for as long as strictly necessary for the security of the site.

6. Who do we share the data with?

The data are neither published nor sold. Only for the purposes stated above, they may be processed by:

  • the provider of the platform on which the site is built and hosted, on servers in Germany (European Union), as data processor;
  • the email service provider, as data processor;
  • external advisors (for example an accountant or a lawyer), when needed for legal obligations or to protect our rights;
  • public authorities, when required by law.

7. Transfers outside the European Union

The site's data are stored on servers in the European Union. If a provider were to process them outside the European Economic Area, the transfer would take place only with the safeguards provided for in Articles 44–49 GDPR, such as an adequacy decision of the European Commission or standard contractual clauses. For the platform at portal.inklaim.com, transfers, such as traffic passing through the content delivery network that protects it, are described in its privacy notice.

8. Your rights

At any time, you can:

  • access your data and obtain a copy (Art. 15);
  • have them corrected (Art. 16) or erased (Art. 17);
  • have their processing restricted (Art. 18);
  • receive the data you provided to us in a structured format and transmit them to another controller (Art. 20);
  • object to processing based on legitimate interest (Art. 21);
  • withdraw your consent to statistics, without affecting the processing already carried out.

Write to info@inklaim.com: we reply within one month. You also have the right to lodge a complaint with the Italian supervisory authority, the Garante per la protezione dei dati personali (Italian Data Protection Authority, www.garanteprivacy.it), or with the supervisory authority of the EU Member State where you habitually reside or work or where the alleged infringement took place (Art. 77 GDPR).

9. Automated decisions

We do not make decisions based solely on automated processing, including profiling, that produce legal effects concerning you.

10. Minors

The site and the service are intended for professionals and businesses, not for minors.

11. Changes to this policy

If we change the way we process data, we update this page and the date at the top. For cookies and visit statistics, see also the cookie policy; for the security of the platform, see the Security and data page.
